The Senior Mail Clerk processes incoming / outgoing mail against contracted timelines. They will sort and scan incoming medical claims and on - claim documents to be processed against contracted timelines. They will process incoming mail and send it to appropriate internal contacts. They will code cross - over and TPL claims per the DLP. They will also use the company owned van to courier mail pickups and drop offs, bank deposits and FedEx shipments.

This position is full - time. Employees are required to work our normal business hours of 8:00 AM - 5:00 PM. Our office is located at 45 Commerce Drive, Suite 5, Augusta, ME, 04330 (100% on - site).

We offer weeks of on-the-job training. The hours during training will be 8:00 AM - 5:00 PM from Monday - Friday. Training will be conducted on - site.

Primary Responsibilities:?

  • Courier Functions including mail pick up and drop off at the Federal, State, and State DHHS Post Offices twice a day
  • A weekly stop at the State Department of DHHS office for mail pickup / drop off and FedEx drop offs, as needed
  • Open all incoming mail that is received from the State and Federal Post offices, client inter - office mail, and those sent via email for processing and sort by type, i.e., claims, Prior Authorization, mailing responses, etc.
  • Forward all items to correct parties if sent here incorrectly
  • Using client software multiple times daily to transfer files from client to internal systems for printing on large commercial printers
  • Print and sort Remittance Advises (RA’s) once a week into 3 categories, non - payments, electronic funds transfer (EFT), and checks
  • Print corresponding labels to each RA. Label then hand stuff all non - payment and EFT invoices
  • RA’s with check also require the matching check be added when hand stuffing. Ensure there are no excess labels, RA’s, or checks
  • If there are, staff will outreach client to remediate the issue
  • Run all envelopes through large sealer / postage machine and assign costs
  • Using scanner and licensed software to scan all documents (claims and non - claims), ensure a unique tracking number is assigned, then upload into client system
  • Track item counts and verify all work objects were successfully transferred to client
  • Sort claims by type HCFA, UB, or ADA and if there is an attached or required TPL / cross over insurance form. Complete a coding form for all claims that have TPL or cross - over insurance and attach to claim
  • Process incoming internal print requests that include but is not limited to the following job types: large or small mass mailings, binders with tabs and inserts, pocket folders with tent cards for meetings, etc.
  • Then ship all materials to requestor within timeframe listed
  • All documents printed or received in the mail that are scanned into the software, must be correctly labelled and tracked by year, julian date, and document type
  • All documents are stored in boxes for up to 3 months inhouse
  • Once volume exceeds inhouse capacity staff will outreach client for bar code tracking and secure transfer to Iron Mountain, an off - site storage facility
  • Client must be on - site for the transfer to Iron Mountain so staff must coordinate times
  • Process mail from PO Boxes. Sort and scan each piece of mail, including physical checks, to the correct internal team member. Ensure received by team member and rescan, if needed
  • Label and add postage to envelopes or create just postage, as needed

Required Qualifications: 

  • High School Diploma / GED OR equivalent experience 
  • Valid Maine License with a clean driving record
  • Ability to work any shift between the hours of 8:00 AM - 5:00 PM
  • Must be 18 years of age OR older

Preferred Qualifications:

  • Experience with using Microsoft Word and Microsoft Excel
